This 'Done With You' session gives you a clear, manageable PIF system where everything has a home, it all links together logically, templates are supplied if you need them, and you know exactly what to do each time you buy ingredients or make a batch of products moving forwards. We build it all on line, or work with what you already have. You watch. I build it with you in your Google Drive (screen share). So you don’t get stuck in the 'where do I even put this' spiral.

I even send you an email afterwards with a step by step guide of what to do moving forwards to make it simple to stay on track. A roadmap to follow to take the thinking part out of your admin!

A live, hands on Zoom session where I help you set up (or fix) your PIF system in Google Drive.

This support does not teach you compliance from scratch, that is a huge topic, but as long as you have an idea of what you should be doing we can build on that and turn what you already know, or have started, into a system that’s

  • easy to find things in
  • easy to maintain
  • not reliant on memory, piles of paper, or 'I’ll sort it later'

If you already have some kind of system (even if it’s chaotic), I will do my best to work with it or improve it rather than ripping everything up and starting again unless that’s genuinely the simplest option.

If you are using something other than Google Drive I can work with that too, there is usually a way for me to access as an editor and even if I can't access the drive for you, I can talk you through the process while you screen share and we can still get it all set up for you there and then.

1) Purchase your session on the website

After purchase you will receive a confirmation email with instructions on how to book your Zoom call and with a link to a form that has a few questions about your business and current system. Nothing to heavy I promise!

1) We meet on Zoom (screen share)

We will have a chat about what you are currently doing and your preferred methods of working.

2) We build your Master PIF structure in Google Drive (or whatever you are using)

We create a clear folder system so everything has a home (and you can find things fast). Typical folders include the following and may involve moving things around or starting from scratch.

  • Batch Records
  • PIF Front Sheets
  • GMP
  • Labels
  • Safety Docs (SDS / COA / Allergen / IFRA)
  • CPSRs
  • Archive (optional)

3) I will add templates where relevant, so future you has an easier life!

I will create / add reusable templates such as

  • Batch record template
  • PIF front sheet template
  • GMP starter document
  • A simple place to store label links/files per product

This is different for everyone, so it may not be how it works for you, if you need a new template to be created I will do it there and then where possible.

4) I will tweak it to fit how you already work

If you’ve already got something going (paper records, spreadsheets, existing naming habits), we will adapt the setup so it’s not a total overhaul, the aim is a system you will keep using and is easy for you.

5) You get a simple roadmap for the future

You’ll know exactly what to do

  • every time you buy ingredients (save docs, naming, where they go)
  • every time you make a batch (record + traceability)
  • when you update labels/designs

    So you don’t have to think every time, you just follow the steps.

This is for you if you

  • are already selling (or properly set up to sell) and understand the basics of compliance
  • know what a PIF needs, but your admin system is paper-based, messy, or inconsistent
  • feel disorganised and worry you’re not doing it properly (so common).
  • have the docs… somewhere, but you couldn’t confidently pull them together quickly and know you need to do something about this.
  • want to move to a cloud based platform and someone to set it up with you, so it’s done properly and you can see how it works
  • want a system that’s simple enough to maintain without it taking over your week

This is not for you if you

  • need a CPSR written or want a safety assessor service (this session is organisation + admin systems)
  • have no idea about the cosmetics regualtions. This is a huge topic and if you are not already selling and want to get started I recommend my Business Bootcamp. I can help you organise everything but you need to understand the requlations too.
  • want legal advice or a 'will this label be compliant?' review or similar.
  • are not willing to save supplier docs each time you order going forward (that’s the maintenance part)
  • want a fully done for you service with no involvement at all (you’ll be present, but I’ll do the heavy lifting and thinking part to get you set up)

  • are not in the UK - this is a service for UK based makers.

Do I need to be good with tech?

No. This is built for normal humans. I keep it as simple as I can and I am really good at explaining things. We do it together on screen share and I will send you a follow up email explaining exactly what we have done and how to stay on top of everything moving forwards.

I have ADHD/Dyslexia, will this work for me?


Yes. We’ll build a system that works with your brain, not against it. We’ll sort the structure first, then make it easy to keep up going forward.
If your paperwork feels overwhelming, messy, or incomplete, you’re not alone and you don’t need to 'tidy it up' before we meet. I support lots of different learning styles and neurodivergent struggles, and I’ll adjust the session so it works for you. Please don't let embarrassment stop you because there is no judgement from me. I am the first to admit my PIF was appalling back in the early days!

I already have a messy system will we have to start again?

Not necessarily. If you’ve got something in place, I will do my best to work with that so it feels familiar, but it will be much easier to use, Sometimes the benefit comes from sitting down with someone and actually going through everything - it can be hard to motivate yourself to do this on your own.

Will you make sure I have every required document?

I’ll help you make sure your system contains the right categories of documents and that you’ve got a clear place for everything. If something is missing, we can look at what to do about this moving forwards. (I can’t generate supplier documents that don’t exist but I can make it obvious what’s missing.)

Isn't my PIF just my CPSR or safety assessment and batch records?

No, they form part of your PIF but there are lots of other documents you need to add on a regular basis (SDS, COA, IFRA docs etc). Infact there is a lot you need to do to be compliant, have a read of this blog for more information.

How long does it take?

Allow between 2 and 2.5 hours in the Zoom call. The service cost includes my follow up email with a 'roadmap' for you to follow in the future. It does not include any further support but you are always welcome to book a 'Pick My Brains' Zoom session.

What do I need before the session?

  • A Google account / access to Google Drive ( or your preferred platform)
  • Access to your supplier docs (SDS/COA/IFRA/allergen) wherever they currently live (downloads, email, computer folders, etc.) If they are in paper form then I will talk you though how to store them digitally in an easy to find format moving forwards)
  • Your current way of doing things (paper notes, spreadsheets, anything) I can work with it

What happens after the session?

You’ll have

  • your folder system set up
  • templates ready to reuse
  • a roadmap so you know what to do each time you order ingredients or make a batch of products to keep your PIF up to date.

What days and times can I book the Zooms?

I generally work Monday to Thursday and you will be able to book a call directly via a calendar link sent after purchase. I can be flexible however so will do my best to accommodate your needs around my commitments.
