If you're running a soap or skincare business in the UK, you will have a PIF or part of somewhere. That’s your Product Information File, the part of your compliance that pulls everything together, whether it’s shoved in boxes or floating about in half forgotten folder on your desktop, and you will know that it is super important and something that you may, at some point, be asked to produce by Trading Standards.
What I have learnt as I speak to more and more people, is that most of you know what you need to do, have started some sort of system, but often it is clunky and gets confusing or messy. Somewhere along the line you may have started a different way of doing things, or you forget where you put things online. Or you even gave up for a bit because it filled you with dread.
As a starting point I have a few tips....

Create one main folder in Google Drive (or wherever you store your files) called 'PIF' and start moving everything into there.

Group by type Set up subfolders for different types of document such as Batch Record Sheets and Labels

Rename files clearly and have a system that makes it easy for you to find them with the search function if needs be.

Consider using hyperlinks so different documents 'talk' to each other.
- Set up a system for yourself to keep it up to date in the future.
I know that having spoken to a fair few people about all of this recently that all of the above is not always as easy as it sounds, which is why I have introduced My 'Get Your PIF Sorted' service and it is going down incredibly well.
It’s not designed to teach you compliance from scratch. It’s takes what you already know and have in place, (even if it’s a bit messy), and builds a simple, structured system that you can then continue with moving forwards.

We’ll meet for up to 2 hours or so on Zoom. I’ll look at what you’ve already got (messy or missing bits is totally fine), and then I will ask you to create one simple folder in your Google Drive or similar and give me editor access, (I will talk you through that too). Then I will share my screen and

Add an archive section (if needed) to help you clear the clutter

Insert templates you can reuse if needed.

Build hyperlinked navigation so it’s easy to switch between related documents and talk you through how to do all of this yourself moving forwards if it is all new to you,

Sometimes I’ll carry on the setup after the call so you don’t have to sit and watch me doing admin. I’ll then send a follow up email with a roadmap so you know what to do every time you make, order, or update your products.

If you’ve got folders, files, or a naming system you already use, we can improve and adapt it rather than throwing it out and starting again.

This is a done with you service, I’ll do all the initial setting up and organising but you need to maintain the system moving forwards. Don't worry though - I give you a step by step guide.
FAQs
Do I need to be good with tech?
No. I keep things super simple, if you can use email and drag and drop files, you’ll be fine. There are no spreadsheets involved although if you already use spreadsheets and would like to continue we can work with that too.
Can we do this if I use OneDrive or Dropbox?
Yes. I can work with most platforms as long as you can screen share or give me access to help build the structure.
I’ve got ADHD / dyslexia – will this work for me?
Absolutely. I help lots of people with different learning styles and neurodivergent struggles, and I will adjust the session so it works for you.
Should I tidy up my paperwork before our call?
Please don’t! I need to see your system as it is. That way, I can help you create something that works with your habits, not against them. And if we find something that is incomplete or missing please don't be embarrassed, none of us get everything right all the time.
To recap, a messy PIF is overwhelming and it can hold your business back. It creates stress, wastes time and makes you dread the thought of someone asking to see your documents.
